How to import a bank statement PDF into QuickBooks or Xero
Accounting software imports bank data, not documents. If the bank feed doesn't reach back far enough, or the account was never connected, the statement PDF is all you have. Here's how to turn it into a file QuickBooks or Xero will accept.

Why you can't just upload the PDF
QuickBooks Online and Xero import transactions from structured files: QBO, OFX or CSV. A PDF is a picture of a page, not data. And bank feeds usually only fetch a limited window of recent history, so catching up on older months, onboarding a new client, or rebuilding a year for taxes means starting from statements.
Which file format to use
| Format | Best for | What to know |
|---|---|---|
| QBO (Web Connect) | QuickBooks Online and Desktop | Imports straight into a bank account with dates, amounts and payees mapped. No column matching. |
| OFX | Xero and most other accounting tools | The open standard that QBO is built on. Signed amounts, no ambiguity about money in vs out. |
| CSV | Anything, including spreadsheets | Universal, but you map the columns yourself on import, and a wrong sign setting flips every amount. |
Use QBO for QuickBooks and OFX for Xero when you can. They carry signed amounts, which removes the most common import mistake.
From PDF to imported transactions
- Upload the statement PDF to Statements in your Signavos dashboard (see how to convert a bank statement PDF).
- Check the balance result. Import only statements where every page ties out; a page marked ⚠️ means a row needs a look first.
- Download QBO (QuickBooks) or OFX (Xero).
- QuickBooks Online: Banking → Upload transactions → choose the file → pick the account. Xero: open the bank account → Import a statement → choose the file.
- Review the imported lines in the bank feed and categorise them as you normally would.
Menu names change between versions. If a step looks different, search your accounting tool's help for "upload bank transactions" or "import a bank statement".
Avoiding duplicates and gaps
- Check where the feed starts. Import statements only for the period before your bank feed's first transaction, or you'll match every line twice.
- Import whole statements. A statement's opening and closing balances are what prove nothing is missing. Partial imports lose that proof.
- Reconcile right after importing. The closing balance in your accounting tool should match the closing balance on the statement to the cent.
Frequently asked questions
- Is QBO the same as OFX?
- Nearly. QBO is OFX with an extra identifier QuickBooks expects. That is why QuickBooks wants .qbo files while most other tools take .ofx.
- Can I import a credit card statement the same way?
- The steps are the same: import the file into the credit card account instead of a bank account in your accounting tool.
- Does Signavos connect to my QuickBooks or Xero account?
- No. Signavos gives you the file and never needs access to your books. You stay in control of what gets imported, and when.
