Best e-signature software for occasional users
If you sign a document every week or two, not every hour, most of what e-signature vendors sell you doesn't apply. Here is what actually matters at that volume, and an honest shortlist.

What "occasional" means here
This guide is for roughly under 25 documents a month — a freelancer signing a few contracts, a landlord renewing a lease, a small team routing an occasional vendor agreement. Past that volume, the math and the feature needs both change; see how much does e-signature software cost? for where the crossover sits.
What actually matters at this volume
- No monthly bill for a tool you open twice a month. A subscription's cost per document rises the less you use it.
- The recipient doesn't need an account. Anything that makes the other side sign up loses you time and, sometimes, the deal.
- A real audit trail, not just a signature image — see what is an electronic signature audit trail?
- Works on mobile, since occasional senders often send from wherever they happen to be, not a dedicated desk.
Notice what's absent from that list: templates, a developer API, bulk sending, team roles. Those matter at volume, not here.
An honest shortlist
| Tool | Cost at low volume | Trade-off |
|---|---|---|
| Signavos | From $0.50/signature, no subscription | One recipient per document; no templates or API yet — see the guide |
| Xodo Sign free tier | Free up to 3 documents/month | Hard cap — the 4th document needs a paid plan; see Signavos vs Xodo Sign |
| Dropbox Sign free tier | Free, historically ~3 requests/month | Cap and terms can change; check current limits before relying on it |
| PandaDoc free eSign plan | Free, includes API access | Aimed at simple signing only — document automation features are paid |
| DocuSign Personal | $12/mo | Cheapest paid DocuSign tier; still a recurring fee whether you send or not |
When a free tier stops being enough
Free tiers are genuinely useful right up until you hit the cap in a busy month, at which point you're pushed onto a full subscription tier priced for much higher volume than you actually need. Pay-per-use avoids that cliff: your fourth document in a slow month costs the same per-signature price as your first, with no forced upgrade.
What occasional users can skip paying for
- Templates — worth it once you're sending the same document weekly, not worth a subscription for occasional use.
- A developer API — irrelevant unless you're integrating signing into your own software.
- Multi-signer envelopes — if you rarely need more than one signer, sending twice at a low per-signature price is usually cheaper than a subscription that includes the feature.
- Team seats and roles — a solo sender or a two-person team rarely needs the access-control features aimed at larger organizations.
If you only send a few documents a year, set the monthly plans against pay-per-use e-signature pricing: Signavos credits stay valid for 12 months.
Frequently asked questions
- What's the cheapest way to sign fewer than 10 documents a month?
- Pay-per-signature pricing or a free tier under its cap. At 10 documents a month, Signavos costs roughly $5–$18 depending on the pack, versus $120–$240 a year for a $10–20/mo subscription.
- Are free e-signature tiers safe to rely on for real contracts?
- Generally yes for the signing mechanism itself, but check that the free tier still includes an audit trail and certificate — some strip those features, not just the volume cap.
- Does Signavos have a free tier?
- No — it has no subscription and no free tier; you buy a credit pack and each send debits one credit, from $0.50 per signature depending on the pack.
- What if my volume grows past occasional?
- Re-run the math in how much does e-signature software cost? — past roughly 20–40 sends a month depending on the competitor, a subscription usually becomes cheaper.
