How to send a lease for electronic signature
Sending a lease electronically saves a trip and a printer, but a lease is not a form you want to get wrong. Here is what to prepare before you send, and how to handle more than one tenant.

Before you upload the lease
This is general information, not legal advice. Rules for e-signing leases and notices vary by jurisdiction and document type.
A lease sent for signature should already be complete — an e-signature link is not the place to negotiate terms. Before uploading, check the PDF has:
- The correct dates: lease start, end, and any renewal terms, filled in, not left as placeholders.
- Rent amount, due date, and payment method stated plainly.
- Security deposit amount and the terms for its return.
- Every addendum — pet policy, parking, house rules — merged into the same PDF, not sent as separate attachments the tenant might miss.
Merging pages into one PDF before uploading is worth the extra minute: a tenant signing an addendum they never saw is exactly the kind of dispute an audit trail can't fix after the fact, because the field was never on the record they signed.
Placing fields on a lease
Mark the signature line as required, and add a date field next to it if the lease template doesn't already print the date automatically. For any clause you specifically want acknowledged — a no-smoking policy, a pet deposit, a subletting restriction — an initials field next to that clause creates a clear record that the tenant saw it, not just the signature at the end.
Sending to more than one tenant
Signavos sends to one recipient per document today. For a lease with two or more tenants, the practical approach is to send the same lease PDF separately to each tenant — each send debits one credit, so a two-tenant lease costs two credits, not one. Each tenant gets their own certificate of completion tied to their own signature. Keep both certificates together with the lease in your records; together they show that everyone named on the lease actually signed it.
If you regularly lease to multiple co-tenants and want everyone to sign the same envelope in one send, that is one of the features a subscription tool with multi-signer support offers — see the comparison pages for where that trade-off sits against the per-signature price.
After the lease is signed
You'll get the final stamped PDF and a Certificate of Completion in your dashboard Inbox. Download both and file them with your other records for that unit — Signavos keeps the document in your account until you delete it, but your own copy is what you'll actually hand a new property manager, an accountant, or a court if a dispute ever reaches that point.
For notices during the tenancy — rent increases, entry notices, non-renewal — check local rules before assuming an e-signature link is appropriate; some jurisdictions require certain notices to be served in a specific way regardless of the lease being signed electronically.

Frequently asked questions
- Is an electronically signed lease legally valid?
- In most jurisdictions, yes, under electronic-signature laws like the US ESIGN Act and UETA — see are electronic signatures legally binding? Some lease-related notices and documents are treated differently depending on where you are; check local rules if you're unsure.
- Can both tenants sign the same document link?
- Not on one send today — send the lease once per tenant. Each gets their own signing link and their own certificate.
- What if a tenant never signs?
- The request expires after 7 days unsigned and your credit is refunded automatically. You can resend the invitation any time before it expires.
- How long should I keep the certificate?
- For at least as long as you'd keep the paper lease — typically the length of the tenancy plus your jurisdiction's relevant statute of limitations. Signavos keeps it in your account indefinitely until you delete it, but keep your own downloaded copy too.
